🟢 Checklist for Direct Billing Cards: Green Card and Yellow Card
According to Appendix II.11, using a direct billing card allows the insured to pay medical costs directly at the hospital, avoiding the need to pay upfront and file a claim later. However, card issuance depends on the actual premium level:
- Green Card: Covers inpatient care, applicable when the premium after discount is from 2,000,000 VND per person per year onwards.
- Yellow Card: Covers both inpatient and outpatient care (if outpatient coverage is selected), applicable when the premium after discount is from 6,000,000 VND per person per year onwards.
Note: The list of hospitals and clinics in the direct billing network may change without prior notice. Please regularly check the insurer’s official website to avoid interruptions during emergency care.

🟠 Checklist for Member Changes: Update Before the 15th of Each Month
Appendix II.4 clearly outlines the terms for automatic addition and removal of staff and dependents. Adhering to these timelines keeps the policy aligned with your actual workforce:
- Notify staff changes: When a new employee joins or an employee leaves, the company must notify the insurer before the 15th of the following month.
- Automatic salary update: If there are salary changes per the labor contract, the company must update the total payroll or monthly salary details before the 15th of the following month.
- Check automatic thresholds: The automatic clause only applies to new employees with a monthly salary under 140,000,000 VND or total permanent disability/death benefit coverage under 4,200,000,000 VND per person lifetime. If exceeded, written confirmation is required.
- Register dependents: Newly married spouses or newborns who meet the eligibility criteria must be registered within 30 days of meeting the criteria.

🔵 Checklist for Policy Renewal: 90-Day Premium Quotation Period
Clause 14 of Appendix II outlines the renewal timeline. To ensure uninterrupted benefits, businesses should note:
- Track renewal schedule: The valid premium quotation period is within 90 days before the renewal date or earlier, depending on the insurer’s assessment.
- Review member list: Check the number and eligibility of participants before signing the renewal to ensure no one is left out.
- Confirm benefit changes: If new benefits were added or coverage amounts increased last year, note that the waiting period may be recalculated if this is not considered a continuous renewal.
🔴 Checklist for Cancellation and Refund: Refund Calculation Rules
According to Appendix II.9, contract termination must be done in writing and comply with specific refund conditions:
- 30-day advance notice: Either party wishing to terminate must provide written notice 30 days in advance.
- Determine the cancellation scenario:
- If due to the policyholder’s dishonesty: The contract is cancelled, no coverage for risks already occurred, and 70% of the remaining premium is refunded (only if no claims have been paid).
- If both parties mutually agree to terminate at the request of the employer (policyholder): 80% of the remaining premium is refunded, provided no claims have occurred.
- If both parties mutually agree to terminate at the insurer’s request: 100% of the remaining premium is refunded, regardless of whether claims have occurred.
- Refund calculation method: The premium for the remaining period of validity is calculated proportionally to the ratio of the remaining days of the contract to the total contract days.
Important note: If the business fails to pay the premium in full as required, the contract will automatically expire at the end of the payment deadline, and no insurance benefits will apply during the overdue period.
A detailed and accurate corporate health insurance checklist is an indispensable companion for HR and accounting departments. Take the time to review these checklist items before each renewal or when major staffing changes occur, to protect the health of your entire team to the fullest.
