Who Can File a Flexi Travel Insurance Claim? Documents by Relationship

When a medical issue or an unfortunate accident happens during a trip abroad, sorting out the paperwork always leaves many families confused. Many customers wonder who is entitled to submit a travel insurance claim and receive the benefit payment.
According to the Flexi Travel Insurance Claim Form (Section III), the person named as the claimant is also the person who receives the insurance money. Identifying the right person and preparing the full legal documents will help the claim process move quickly and accurately.

📋 4 people eligible to file a Flexi travel insurance claim
The claim rules clearly define who may submit the claim form in each real-life situation of the insured person.
1. The insured person themselves
This is the most common and simplest case. If the insured person is an adult (18 years old or older) and has full civil capacity, they will personally sign the claim form and receive the benefit payment.
In this case, the claimant skips Section III and goes straight to choosing the payment method in Section IV.
2. Parent or legal guardian (when the insured is under 18)
For trips with children, if the child unfortunately has an incident, the parent or legal guardian will handle the procedure on their behalf. Under the Flexi certificate, children are limited to 20% of the sum insured for the personal accident and medical expense benefits.
When filing on behalf of a child under 18, the representative must prepare documents proving the relationship:
- ☐ A copy of the insured person’s birth certificate.
- ☐ A copy of the household registration book (Sổ hộ khẩu, Vietnam’s household registration document) or documents proving legal residence.
- ☐ A document proving legal guardianship, or an equivalent document as required by law.
3. A legally authorized representative
If the insured person is alive but cannot file the claim or receive the payment in person (because they are busy, far away, or undergoing treatment), they may authorize a relative or another person to act on their behalf.
The required documents for an authorization include:
- ☐ A validly notarized power of attorney.
- ☐ Or a power of attorney certified or verified by the People’s Committee of ward/commune level or higher (or equivalent documents as prescribed).
- ☐ ID documents (Citizen ID Card/Passport) of both the authorizer and the authorized person.
4. Legal heirs or beneficiaries
In the most serious case—the death of the insured—the right to file the claim belongs to the line of heirs:
- ☐ The legally designated beneficiary.
- ☐ Or the person identified in a notarized or certified estate division agreement / estate declaration document.
- ☐ ID documents and documents proving legal inheritance rights under current law.
💳 2 ways to receive your Flexi insurance payout
After completing the travel insurance claim procedure in Section IV of the form, the payee can choose whichever of the two payment methods is most convenient.
Collecting cash in person
Customers can come to a Bao Viet Insurance transaction counter to collect the payment in person. When collecting, the payee must present their original ID (CMND, Citizen ID Card/CCCD, or Passport) that matches the information declared in the claim file.
Bank transfer
The bank transfer method is chosen by most customers for its convenience and speed. You need to provide the following account details accurately on the claim form:
- ☐ The bank account number in the claimant’s/payee’s own name.
- ☐ The account holder’s full name (in uppercase, without diacritics, or per the bank’s standard format).
- ☐ The name of the receiving bank.
- ☐ The branch where the account was opened.
Important note: The name on the receiving bank account must match the name of the authorized claimant confirmed in Section III.
⚠️ Important notes when preparing your claim file
To help the review process go smoothly, carefully check the details required on the Flexi claim form:
- ☐ Fill in the insurance contract number or insurance certificate number fully and clearly (in uppercase, including any dots).
- ☐ Declare honestly whether you have any other travel insurance for the same trip, in compliance with the rules on duplicate insurance.
- ☐ Note on document language: if medical documents or invoices issued abroad are in a language other than Vietnamese or English, you are responsible for providing a certified Vietnamese or English translation (or a translation done by the Embassy); the translation costs are borne by the claimant.
- ☐ Provide your accurate personal phone number and email in Section V so you receive timely updates on the progress of your file.
