Trip Cancellation and Curtailment: Recovering Non-Refundable Travel Costs Under Flexi

You’ve booked flights and accommodation, then suddenly cannot depart — can you get your deposit back? This is a common question when researching trip cancellation compensation under travel insurance. Under the Flexi travel insurance rules, two related benefits apply: trip cancellation and trip curtailment, each with its own scope and conditions.
In this article
🧾 What does trip cancellation cover?
Under Section IX of the rules, the insurer compensates each insured person for deposits paid for accommodation, travel company bookings, or other trip-related deposits that cannot be recovered from the travel company, transport provider, or accommodation provider. The amount paid follows the limits of the selected program, as stated in the Insurance Certificate or insurance contract.
One important point: the insurance period for this benefit takes effect from the date the insurance request is accepted, not from the departure date. This means if the event leading to the cancellation occurs before the contract is accepted, the claim may not be considered.
✅ Accepted reasons for trip cancellation claims
The trip cancellation benefit is only paid when the loss results from specific causes, including:
- Serious incidents involving family members and related persons: the insured person, travelling companion, spouse, biological parents, adoptive parents, parents-in-law, paternal or maternal grandparents, children, siblings, deceased spouse, or an essential business partner of the insured residing in Vietnam dies, falls ill, or suffers serious bodily injury.
- Legal obligations: the insured person must appear as a witness, has a summons from a court or judicial council, or is subject to mandatory quarantine.
- Riots, unrest, or entry bans: riots or unrest leading to an event falling under the general exclusion, or the authorities handling the situation at the intended destination imposing a temporary entry ban.
- Serious damage at the residence: the insured person’s main home suffers fire, flood, or another natural disaster (such as lightning, storm, or earthquake) within one week of the departure date, and the insured person’s presence is required from departure.
☐ Checklist before filing a trip cancellation claim
- ☐ Confirm the cancellation event falls under one of the accepted reasons above.
- ☐ Check that the insurance period was already in effect (from acceptance of the insurance request) before the event occurred.
- ☐ Prove the deposit is not recoverable from the travel company, transport provider, or accommodation provider.
- ☐ Notify the travel agent, travel company, or service provider of the cancellation as soon as necessary.
- ☐ Prepare documents proving family relationship (if the reason involves a relative) and trip-related documents.
- ☐ Submit the claim within the deadlines: the claim file within 60 days from the end of the relevant trip, and all documents within 180 days from the end of the trip.

🚫 Exclusions to avoid
The trip cancellation benefit does not pay for:
- Losses arising from a health condition or circumstances that existed before the date of the insurance request.
- Losses arising directly or indirectly from government or prime ministerial regulations that move the schedule earlier, or from failure to provide part of the pre-booked holiday (including provider, agent, or travel company error, snowstorm, or suspension).
- Losses arising directly or indirectly from compulsory travel or the political status of the insured person.
- Losses resulting from unlawful acts or criminal proceedings of a person intending to lead to the tour program.
- Losses due to failure to notify the travel agent, travel company, transport provider, or accommodation provider of the cancellation as soon as necessary.
- Losses already paid or refunded by an existing insurance program, a government program, the hotel, the transport provider, the travel agent, or another service provider.
🔄 Trip curtailment: which costs are reimbursed?
Unlike cancellation, the trip curtailment benefit (Section X) applies when the trip has already begun but must end earlier than planned. The insurer pays each insured person for:
- Prepaid travel or accommodation costs that remain unused and non-refundable;
- Additional hotel costs incurred;
- Repatriation costs back to Vietnam.
Accepted causes include: family members and related persons (the same list as for cancellation) dying, falling ill, or suffering serious bodily injury; or riots or unrest leading to an event falling under the general exclusion, or a first-time occurrence of transport riots in Vietnam during the trip.
| Criteria | Trip Cancellation (Section IX) | Trip Curtailment (Section X) |
|---|---|---|
| Timing of event | Before departure | During the trip |
| What is reimbursed | Non-refundable ticket and accommodation deposits | Unused prepaid costs, additional hotel costs, repatriation costs |
| Insurance validity | From acceptance of the insurance request | According to the trip’s normal insurance period |
General conditions for curtailment: the event leading to the claim must occur at the time of the insurance request; no payment is made if the condition leading to the claim existed before the date of the insurance request, or if the person was hospitalized or diagnosed with a terminal illness at the time of the insurance request. To understand the timeframes better, see how long Flexi travel insurance can cover you — up to 365 days — and the requirement that trips depart from Vietnam.
📁 Tips for preparing claim documents
The claim file must be submitted on time, with original documents or certified copies. If documents are in a foreign language, note the certified translation rules — see claim documents in a foreign language: certified Vietnamese/English translation and who pays the fees. In all cases, payment depends on the insurer’s verification and assessment according to the contract terms, so readers should review the insurance rules carefully or contact the insurer or advisor before expecting a specific refund amount.
Understanding the accepted reasons and exclusions helps you notify cancellations promptly, keep all deposit documents, and improve the chances of a trip cancellation claim being considered favorably.
